Certification Process

Certification Process A brief outline of the process is provided below.

A critical first step is determining the scope of the certification you require. Organisation needs to have clearly defined their role and scope of activities with respect to delivering events.

Event clients or event organisers have the option of certifying sustainable event management systems with respect to:
  • A one off event
  • A recurring event
  • All events
For suppliers, the certification relates to only those activities involved in delivering events.

The certification process requires an audit to be carried out to determine:
  • Whether your sustainable event management system meets the requirements specified in BS 8901
  • Whether there is evidence showing that your sustainable event management system is operating effectively
The certifier may suggest a pre-certification visit to ensure you are adequately prepared for certification.

Some of the certification may be achievable via a desk top review, but it is likely that a site visit will be required. This visit will entail:
  • An opening meeting with senior management to explain the audit process
  • Interviews with management, employees and selected stakeholders
  • Review of the management system, associated documents and records
  • Site inspection (if applicable) to make visual observations regarding the operation of the management system
  • A closing meeting with management to feedback findings and conclusions
If significant failings are noted during the audit, these will normally be communicated to you at the end of the visit and also via a report. You will need to provide evidence that these failings have been adequately corrected before you will be given a certificate.

The certificate is usually valid for 3 years (except in the case of a one-off event where the certification will last only for the duration of the event). You will need to undergo follow-up visits to ensure your system is still in compliance with the standard if you wish to retain the certification.

For one-off events, you may choose a phased approach to certification if you wish to demonstrate that you are working towards the standard prior to the event occurring. This would enable you to promote your success with respect to BS 8901 as part of the build up to the event
